School Secretary Position Job Description
Duties and Expectations:
- Meet and interact with public and employees in routine situations which require tact, discretion and courtesy.
- Provide a variety of clerical duties involving all but the most complex matters.
- Has to have good computer skills that are necessary for doing the job.
- Under the direction of the principal, performs a variety of clerical and support work involving both specific routines and broadly defined policies and procedures; greets and interacts with the public, works cooperatively with staff, students, and parents, and performs other related duties as assigned.
- Has to have knowledge of modern office practices and procedures
- Has to have knowledge of and ability to use oral and written English correctly and appropriately.
- Has to have the ability to communicate effectively and help others.
- Provide information and interpretations of policies or procedures related to departmental or school activities.
- Establish, maintain and monitor accurate, neat and efficient electronic and manual filing systems.
- Sort and classify incoming mail and other information for efficient disbursement to appropriate recipients.
- Prepare letters, memoranda, reports, bulletins, handbooks, questionnaires, requisitions and other materials from marginal notes, rough drafts, verbal instructions or dictating equipment.
- Compile information from various sources on a variety of standardized forms.
- Assist in the orientation and training of the employees or volunteers.
- Prepare accurate minutes of meeting. (Not necessarily applicable)
- Handle confidential information with complete security.
- Take lunch count daily and place lunch orders in a timely fashion.
- Gather and prepare appropriate attendance/accounting information.
- Maintain office bulletin board.
- Prepare attendance reports monthly and share them with the principal.
- Print report cards and pass them out to the teachers at the end of every quarter.
- Follow up on parents to collect cost of missing or damaged books compensation before handing the report cards.
- Schedule, keep track of and log all the fire drills, tornado drills and lock downs.
- Maintain classroom key distribution and record-keeping.
- Conform to District policy regarding attendance and absences.
- Employee’s attendance must be adequate to perform the above listed essential job functions.
- Checks and follows up on students’ attendance hourly. Calls home to enquire about absent students.
- Follow up on parents to have their children vaccinated and provide evidence to be documented.
- Updates school website and Facebook with the pictures of public events taking place at the school.
- Create school calendars and share them with the principal for approval
- Pay the school bills on time.
- Place orders for stationery and cleaning supplies in a timely fashion.
- Arrange for school field trips and communicate with the field trips coordinators.
- Type out checks to pay venders.
- Receive and read generic correspondence and report to the principal
- Enroll students and collect fees. Request records from prior schools, distribute school records
